“At the beginning of March, after the transition to automated and centralized parcel distribution, postal operations changed significantly in one day: processes, logistics solutions, IT systems interfaces. Challenges emerged during the first weeks of this project to large scale, and some shipments were delivered later than usual. We apologize to customers for the inconvenience experienced during this period and thank them for their understanding and patience, “says Asta Sungailienė, Managing Director of Lietuvos paštas.
According to the head of the company, the beginning of this year was characterized by unusually large shipments for this period, which would be difficult to distribute and deliver on time even without transformation. The company has taken additional steps to quickly address the challenges.
Today, most shipments are already traveling normally, and in the first few weeks, shipments accumulated due to technical and logistical disruptions are largely distributed. Currently, smart parcel delivery devices distribute more than 140 thousand on average per day. packages that travel by mail and courier LP EXPRESS and post offices. However, for various reasons, challenges still arise in the distribution of unregistered letters and incoming mail.
Took more action
Currently, the company is working to improve systems and coordinate all operations. Since Lietuvos Paštas operates 24/7, all system improvement work must be carried out in parallel, without interrupting current activities.
“As the number of delays increased, we responded promptly and mobilized additional capabilities, reviewed processes, and made necessary improvements to IT solutions. Currently, most operations are already scheduled, despite some technical failures and challenges. We notice that the tension is gradually decreasing: delivery times are normalizing, the number of delays is decreasing, we are receiving fewer inquiries from customers, “says A. Sungailienė.
The significant increase in parcel flows has led to a corresponding increase in the number of parcels with incorrect addresses. Since these shipments must be processed by hand, Lietuvos Paštas has increased its human resources in the logistics center. The increased capacity is also available in the Contact Center. In major cities and some regions, post offices and mail senders also worked on public holidays. Courier and parcel shipments are also delivered on Sundays in major cities.
Most shipments travel normally, defies unregistered mail and the import segment.
LP EXPRESS shipments traveling via courier and post offices are currently delivered as usual. Most of the detained domestic postal packages have already reached the addressees. It is true that due to logistical disruptions, incorrect routing and technical problems caused by the pandemic, there are still delays.
In early March, logistical challenges, as well as a large number of letters with incorrect or inaccurate addresses, disrupted the letter distribution process. Currently, the distribution of certified mail is smooth, but there are still problems with the distribution of unregistered mail. The company is reorganizing its processes so that accumulated unregistered letters reach recipients as soon as possible, but no later than next week.
There are also challenges in the delivery of items and letters sent from abroad to Lithuania: the pandemic has affected the entire logistics sector on a global scale, thus the delivery of items from abroad has become unstable and difficult to predict. Some packages travel by new routes, not by air, but by land, foreign post offices constantly report on problems in your country. Shipments from EU countries travel a bit longer than usual during quarantine, there may be isolated delays due to wrong address, etc. The longest delivery times are recorded from third countries, especially China. Letters and shipments sent to Lithuania from abroad were always processed in the receiving country within certain time frames, usually up to three weeks. Due to the uneven flow of shipments and increased volumes, these timelines have been extended globally.
Smart devices help you manage log streams
According to the head of Lietuvos paštas, the company faces unusual challenges during the pandemic, when due to the quarantine the volume of packages has increased significantly and now their flow is equal to the most intense Christmas period.
According to data from the Lithuanian Post, in January and February this year, compared to the same period last year, the number of packages traveling in Lithuania increased by 66 percent. and amounted to more than 2.2 million. units. The number of packages traveling by mail and courier increased by as much as 148 percent. The number of shipments from abroad amounted to almost 2.5 million. units – this is 40 percent. more than in January-February of last year.
“MI – the flow of commercial shipments that we predicted to achieve in 3-5 years has increased during the year due to the pandemic. The capacity of smart devices has become critical for the company to handle record shipments during the pandemic period. Despite the challenges at the current stage, after automating the processes, we forecast to distribute more packages in March than we distributed in January and February, ”says A. Sungailienė.
