The Public Records and Archives Administration Department (PRAAD) of the Civil Service Office has completed the digitization of more than 500,000 documents.
In addition, a website has also been developed to provide access to digital documents.
“Digitization will ensure the long-term preservation of the records for posterity. This exercise will continue in 2021 ”. The Head of Civil Service, Nana Kwasi Agyekum-Dwamena, said this at the launch of the 2020 Civil Service Week Celebration in Accra yesterday.
The one-week event has as its theme: “Synergy between the public administration and the private sector: an imperative for national development”.
Activities scheduled for the celebration include a public conference, an open house, a cleaning exercise, a health day, and an awards ceremony.
He explained that the event was to provide a platform for public officials to engage with the public and private sectors to identify potential areas of collaboration for job creation, prosperity and equal opportunities for all.
Technology
Nana Agyekum-Dwamena said that as part of adopting the technology, the Ministry of Communications had also implemented a smart workplace platform to enable all ministries, departments and agencies (MDAs) to conduct government business in a more secure environment. .
Likewise, he said, the Office of the Chief of Public Function had an active account on social networks that provided information on its operations and activities and a platform for interaction with the public.
“The Civil Service has embraced technology to work smarter and improve its services. We have substantially digitized the systems and work processes at MMDA. By embracing the new normal, I believe our digital space will continue to be used appropriately as the work progresses steadily, ”he added.
He said that to ensure greater competition and a credible and transparent recruiting system, his team last year improved its computer-based civil service recruitment and examination system, adding that the service had also introduced an online promotion exercise for facilitate rapid promotion of officers.
“Currently, about 1,500 officers are conducting the virtual promotion exercise. This process has helped reduce the large number of personnel entering the office, allowed officers to go through the interview process in the comfort of their offices, and also eliminated costs, ”said the Chief of the Civil Service.
Reforms
Nana Agyekum-Dwamena further said that a results-based public sector project, launched by the president in 2018, was currently being implemented as part of the national public sector reform strategy in selected civil and public service organizations.
To improve customer service, he said, his team would also monitor service standards by deploying “mystery shoppers” at various MMDAs to assess the quality of services provided to customers.
“As we approach an election period, we must remind ourselves of our core value of fairness and our role as civil service personnel,” he warned members.
